Specific Responsibilities include but are not limited to:
- Manage the calendar schedule of the assigned executive(s)/officer(s); maintainganized records files related to Business Unit activities.
- Coordinate logistics fkey tasks such as business travel (including visa applications, travel arrangements, itineraries, meeting agendas, travel documentation etc.), memo, budget expense processing.
- Provide full logistical support fmeetings, workshops, events, conferences, tasks include scheduling, preparing sending meeting invitations materials, drafting slides, taking distributing meeting minutes, ensuring smooth execution, other support may be instructed.
- Support onboarding offboarding processes, such as office workspace arrangement, coordination with HRD facilities & administration services teams, to ensure seamless implementation of relevant processes steps.
- Handle incoming outgoing communications documentation; draft prepare office memos, letters, reports, meeting minutes, other correspondence as instructed.
- Proofread distribute general correspondence; serve as a point of contact finternal external stakeholders; greet liaise with visitors, support general office administration.
- Maintain up to date administrative records handle processes such as budget, expense reports, vendpayment tracking; Assist in budget planning, monitoring relevant reporting.
- Assist with data entry/collection/analytics, database maintenance support basic research; Handle sensitive information in a confidential manner with discretion.
- Oversee stationary levels other office supplies, coordinate repair maintenance of office equipment.
- Perform any other tasks that may be assigned from time to time by the supervisor(s).
Candidate Requirements
- Bachelor’s degree above in related fields from a reputable university.
- Minimum 1 year of relevant administrative support experience, preferably in an international financial institution.
- Proficient in verbal/written English Chinese is required.
- Strong interpersonalganizational skills, with the ability to manage multiple tasks priorities effectively.
- High attention to detail, with a proactive service-oriented mindset.
- Ability to work under pressure handle confidential information with integrity.
- Experience in a multinational environment with dispersed teams is an advantage.
- Proficiency in MS Office applications is required.
