Job Accountabilities / Responsibilities
Document Management
• Receive,ganize, label, archive, distribute project documents (e.g., contracts, reports, technical specifications).
• Maintain document control systems, ensuring version control accessibility fstakeholders.
• Prepare compile contract documents, progress reports, financial invoices fclient submission.
Coordination & Communication
• Arrange meetings with clients, consultants, contractors; prepare distribute meeting minutes.
• Disseminate contract documents correspondence to relevant parties.
• Collaborate with suppliers internal teams to ensure timely delivery of project Documents.
Compliance & Quality Assurance
• Ensure all documentation complies with company standards regulatory requirements.
• Monitdocument workflows to avoid delays errors, conduct regular audits faccuracy.
Support & Reporting
• Assist managers in tracking project schedules, budgets, deliverables.
• Generate document status reports maintain records ffuture reference.
Job Holder Requirement
Qualifications:
1. Bachelor’s degree in a relevant field (e.g., Business Administration, Engineering, Information Management).
2 Proficiency in English (written spoken); additional language skills are a plus.
3 Advanced computer literacy, including MS Office (Word, Excel, PowerPoint) document management software (e.g., SharePoint, Aconex).
4 Detail-oriented with strongganizational multitasking abilities.
5 Proactive problem-solving skills ability to work under tight deadlines.
6 Team player with excellent communication interpersonal skills
Experience
1 3+ years of experience in document control, project administration, related roles.
2 Familiarity with project lifecycle documentation from engineering, procurement, construction, to commissioning handover.
